Gift Cards dashboard
The Gift Cards dashboard brings every gift card from all your connected Shopify stores into one list. Instead of opening each store to check outstanding balances, what's expiring, and what's disabled, you get a single view you can filter, sort, and export.
Opening the dashboard
In the left sidebar, go to Products → Gift Cards, or visit /gift-cards
directly.
If a connected store is missing the access scope EcomSolo needs to read gift cards, a small badge appears next to the menu item — open the dashboard and you'll see which stores need re-authorizing.
What you'll see
Each row is one gift card, with these columns:
| Column | What it shows |
|---|---|
| Gift card | The masked code / last characters that identify the card. |
| Store | Which connected store the gift card belongs to (shown on multi-store accounts). |
| Balance | The current balance alongside the initial value. |
| Status | Active, Disabled, or Expired. |
| Customer | The customer the card is assigned to, when present. |
| Expires on | The expiry date, or "Never". |
More fields — such as initial value, issuing order, note, recipient email and deactivated date — are available from the column picker. Use it to show, hide, and reorder columns, and set your default sort — the dashboard remembers your choice.
Filtering and searching
Narrow the list down and sort by any column. The filters make the common questions one click away:
- Stores — focus on one or more connected stores.
- Status — Active or Disabled gift cards.
- Customer ID and Issuing Order ID — find the cards tied to a customer or the order that issued them.
- Expires On, Deactivated At, Created At, Updated At — filter by date.
Type in the search box to search by code, customer, note, or masked code.
Exporting
Open the Export Builder from the dashboard to download gift cards as CSV or Excel. You choose the scope:
- Current page — just what's on screen.
- Filtered — everything matching your current filters.
- Selected — only the rows you tick.
- All gift cards — the full list across your stores.
Pick the columns you want, and download. If you export the same shape regularly, save it as a template so it's one click next time.
Tutorial: export outstanding gift card balances across your stores
A quick walkthrough of a common job — pulling a report of the active cards that still hold value, across every store, as a shareable file.
- Open Products → Gift Cards from the sidebar.
- In the filter bar, set Status to Active to leave out disabled cards.
- Add a Store filter if you want to focus on one store, or leave it off to see all stores together.
- Click the Balance column header to sort — for example highest first, so the largest outstanding balances rise to the top.
- Use the column picker to add columns like Customer and Expires on so every row carries the context your finance team needs.
- Open the Export Builder, choose the Filtered scope, pick your columns, and download a CSV or Excel — a ready-to-share liability report.
Permissions
Account owners always have access. For team members, access is controlled by the View Gift Cards permission — without it, opening the dashboard shows a "no access" message. Grant it from your team member's permissions.
FAQ
Does the Gift Cards dashboard show gift cards from all my stores at once? Yes — every connected store's gift cards land in one list. Filter by Store when you want to focus on a single store.
Why does a gift card show as Expired? A card is marked Expired once its expiry date has passed. Cards with no expiry date show "Never" and stay Active until they're used up or disabled.
Why is the Customer column empty on some rows? Not every gift card is assigned to a customer — cards issued without one simply leave that column blank.
A store shows a warning badge next to Gift Cards — what does it mean? That store is missing the Shopify access scope EcomSolo needs to read gift cards. Re-authorize the store and the badge clears.
Can team members see this dashboard? Only if they have the View Gift Cards permission. Account owners always have access.
